Welcome, leaders! This guide will help you successfully renew your unit charter and memberships under Scouting America’s latest process.
Units can pay charter and member renewals online, in person, or by mail—see Payment Options below.
Unit renewal (charter) and membership renewal (youth/adult) now operate separately. Each member’s registration lasts 12 months from their join/renewal date—no longer tied to unit renewal.
The annual charter agreement must be signed and filed at the council office; this is not part of the online renewal.
Unit Renewal
Sign in to My.Scouting.org. Use Organization Manager (Key 3: Unit Leader, Committee Chair, COR, or their delegate).
Review Key 3 leadership roles. Update roles and verify all are current; this prevents delays.
Check Safeguarding Youth Training (SYT). All adults must have current training; renewal cannot be completed with expired SYT, or if their SYT training will expire before the unit’s future renewal date.
Verify roster information. Add or update adults as needed, correct profile info, and select who will be renewing.
Complete the online renewal. Sign digitally, submit payment, and track status in Organization Manager. Unit payments can be made by credit card or check delivered to the Council office.
Unit renewal opens two months prior to unit expiration. Units have a two-month grace (lapsed) period after expiration to renew, or the unit will be dropped permanently. Leaders should start early to avoid delays or “dropped” status.
Only the Key 3 leaders (Unit Leader, Committee Chair, Chartered Organization Rep) or their delegate have access to the Unit Renewal tool in Organization Manager.
Validation errors that block unit renewal include:
Insufficient required leadership roles
Expired Safeguarding Youth Training (SYT) for any leader
Leaders under 18 years old
Leaders must resolve these errors before proceeding.
The Position Manager tool allows Chartered Organization Representatives to update leadership roles before renewal; however, changes will take up to 24 hours to sync before they appear for validation.
Individual Renewals
Parents and adults must have an accurate linked parent/guardian My.Scouting account to receive renewal emails and renew online. Get help with linking parent or guardian accounts.
Renewal notices are emailed and texted starting 60 days before membership expiration, with reminders at 45, 30, 15, 7 days before, and 7 days after if not renewed.
Members click the notification in My.Scouting.org to complete the renewal process.
Update or confirm member info (deselect Scout Life magazine if not wanted), select payment method, agree to the Terms and Conditions, and complete payment online.
Payment Options
Online payments: Units and members can pay directly by credit card in My.Scouting.org.
Council office payment: Bring or mail your unit renewal report and payment (cash, check, or credit card) to the Occoneechee Council Service Center (3231 Atlantic Ave., Raleigh, NC).
Unit payment for members: Leadership may select multiple eligible members and generate a payment order—a report to be printed and submitted with payment. Payments for members are non-refundable.
Klarna is a new payment option for individual membership renewals in 2025, allowing members to split their annual fee into four equal, interest-free payments (“Pay in 4”), choose to pay after 30 days for added flexibility, or select monthly financing for higher or family membership fees. There are no fees or interest when payments are made on time, although credit approval by Klarna may be required. Members can select Klarna during checkout in My.Scouting.org to help make Scouting more affordable by spreading renewal costs over several months.

Individual members renew annually so they can continue to benefit from the promise of the Scouting program for another year. Scouting America simplified the renewal process to allow each family to confirm their desire to continue on the anniversary of their joining. When families use the self-pay option, no administrative requirements exist. Units renew annually to identify the leaders for the new Scouting year and to ensure a minimum number of youth are available for an effective program.
Annually chartered organizations reconfirm their relationship with the council and agree to use the Scouting program as a safe way to develop character, citizenship, and leadership in youth. The process to complete the agreement is separate from the renewal process. The Annual Charter Agreement form can be found at https://www.scouting.org/forms under the Unit Membership Resources. It is recommended you get the form signed before you start the actual renewal process.
